Terms of Service

1. Scope of Services

Seahorse & Soil provides integrative therapeutic services, including psychotherapy delivered under clinical supervision and kinesiology-informed yoga therapy. Services may be offered independently or in an integrated manner, depending on the client’s treatment plan and therapeutic goals. Not all sessions will include movement-based interventions, and psychotherapy-only sessions may occur without physical practices.

2. Session Structure

Sessions are offered in 50-minute and 80-minute formats. An initial 80-minute intake session is provided to allow for a comprehensive assessment and the establishment of a therapeutic framework.

3. Fees and Payment

Session fees are as follows:

  • $160 for the initial 80-minute intake session 
  • $160 for 50-minute sessions 
  • $185 for 80-minute sessions 

Session packages are available and can be discussed at the client’s request. 

Payment is due at the time of service. A grace period of up to 48 hours is permitted; however, all outstanding balances must be paid in full within 48 hours of the scheduled session start time.

Accepted Methods of Payment

Payment may be made via e-transfer or credit card. Credit card payments are processed securely through Stripe and are subject to a 3% processing fee, which will be added to the total transaction amount.

4. Cancellation and Missed Appointments

A minimum of 24 hours’ notice is required to cancel or reschedule an appointment. Appointments cancelled with less than 24 hours’ notice, or missed appointments, will be charged the full session fee, except in cases of legitimate and verifiable emergency, at the sole discretion of the practitioner.

5. Online and In-Person Services

Services may be delivered either in person or via secure online platforms. Clients are responsible for selecting the appropriate session format when booking. Meeting links will only be provided for sessions designated as online.

6. Online Video Sessions

Online sessions are conducted using secure video conferencing platforms. While reasonable efforts are made to ensure privacy and confidentiality, no electronic communication system can be guaranteed to be completely secure.

Online therapy involves the communication of sensitive personal information through audio and/or video. While it may be comparable in effectiveness to in-person therapy, it may feel different due to limitations such as reduced nonverbal cues and potential disruptions in connection.

Risks specific to online sessions may include:

  • Technical difficulties or interruptions 
  • Reduced clarity in communication or attunement 
  • Potential unauthorized access to electronic information 

Clients are responsible for:

  • Ensuring access to reliable internet and appropriate technology 
  • Attending sessions from a private and confidential space 
  • Minimizing distractions and interruptions 
  • Providing a current phone number and email for backup communication 

In the event of a disruption, attempts will be made to reconnect. If reconnection is not possible, contact may be attempted via phone or email, and the session may resume at the next scheduled time.

Online services are not appropriate for emergency situations. If there is concern for immediate safety and communication is interrupted, reasonable steps may be taken to contact the client’s emergency contact and/or emergency services.

Clients agree to inform their therapist of their physical location at the start of each online session.

7. Confidentiality and Limits of Disclosure

All information disclosed within the therapeutic relationship is confidential, subject to the following legal and ethical exceptions:

  • Risk of serious harm to the client or others 
  • Suspected abuse, neglect, or exploitation of a child or dependent adult 
  • Court-ordered disclosure 

As psychotherapy services are provided under clinical supervision, relevant clinical information may be shared confidentially with the supervising Registered Clinical Counsellor for consultation and treatment planning.

8. Client Responsibility and Participation

Clients are expected to participate actively in their care and communicate openly regarding their needs and experiences. Clients retain the right to decline any intervention and may withdraw from services at any time.

9. Movement-Based Practices and Assumption of Risk

Certain sessions may include movement-based or yoga-informed practices. Participation in such activities carries inherent risks, including the risk of physical injury.

Clients are responsible for disclosing any medical conditions, injuries, or limitations that may impact participation. All participation is voluntary, and clients may decline or modify any activity at any time.

These services are not a substitute for medical advice, diagnosis, or treatment.

10. Emergency Contact

Clients are requested to provide an emergency contact as part of the intake process. This information is used only in situations where there is concern for a client’s immediate safety and direct communication is not sufficient.

If a client is unable or unwilling to provide an emergency contact, alternative emergency planning may be discussed.

11. Third-Party Billing and Service Classification

Services are classified under a single professional designation per session (psychotherapy or kinesiology-informed yoga therapy) based on the primary service provided. Services are not divided or dual-billed within a single appointment.

Clients are responsible for verifying insurance coverage and eligibility. Receipts will reflect the professional designation under which the service is billed.

Direct Billing

Receipts are provided for all services and may be submitted to extended health benefit providers or third-party payers, depending on individual coverage.

Direct billing may be available for eligible services through participating insurers (e.g., TELUS Health eClaims). At this time, direct billing is only available for services billed under kinesiology. Psychotherapy services are not eligible for direct billing while RCC registration is in progress. Clients are responsible for confirming coverage and eligibility with their insurance provider.

12. Agreement to Terms

By booking and attending services, clients acknowledge that they have read, understood, and agree to these Terms of Service.

These Terms of Service are intended to be read in conjunction with the Informed Consent document, which provides additional detail regarding clinical services, risks, and client responsibilities.
